Payables

Payables are amounts your institution owes to other people or companies (creditors). You can register a payable when you have an expense that has not yet been paid.

How it works

  • When registering a payable, you select the Creditor and the Affected Expense Account from your chart of accounts.

  • You only need to add a creditor once — after that they can be selected from the list each time.

  • You also fill in the amount payable, payment date, reference number, and any comments.

Clearing a Payable (paying it off)

When you finally pay the creditor, clearing is done under Accounting → Register Journal Entries. You search for the same payable account you registered earlier and record the amount paid.

Reversals

If you registered a payable by mistake, you can reverse it:

  • Scroll to the far right of the payables list

  • Click the three dots (⋮)

  • Select Reverse

  • Once the approver approves, the payable is marked with a red strike-through line, meaning it has been reversed.
